Start with the internal cost review

Before drafting the client-facing document, estimate person-hours, loaded labor, job-specific supplies, travel or parking, equipment cost, payment costs, and an appropriate overhead allocation. Review the planning margin only after the estimated job cost is visible. The quote template communicates the result; it does not repair an incomplete cost model.

1. Name the service and frequency

Replace “house cleaning” with the actual service: maintenance, first-time deep clean, move-in or move-out, or another defined category. State whether the amount is per visit, hourly, a range, or another clearly explained structure. For recurring work, show the per-visit amount and frequency rather than leaving the billing period ambiguous.

2. Separate assumptions from promises

A remote quote may begin with a size band, bathroom count, service type, condition label, pets, stairs, parking, access, and must-have tasks. Label these as working assumptions until confirmed. Do not include a client name, address, access code, or other private detail in a public template or browser tool.

3. Show inclusions, exclusions, and options

A total is difficult to evaluate when “standard clean” carries the whole scope. Name the major included task groups and list common exclusions. Price meaningful options separately when they change labor or direct cost. An option should be genuinely optional—not work the client reasonably needs to receive the promised base service.

4. Make price, tax, and payment readable

Show the base amount, selected options, applicable tax treatment, and total using one currency. State when payment is due and which methods are actually accepted. Do not invent tax wording or copy a template from another jurisdiction; validate invoice, consumer, cancellation, and tax requirements for the business location.

5. Use a confirmation rule—not a blank cheque

The change rule should name the facts that could not reasonably be confirmed earlier and require agreement before additional work begins. It should not advertise a low amount and authorize an unexplained increase after arrival. If the uncertainty cannot be bounded, consider a clearly described range, hourly structure, or pre-service walkthrough instead of pretending the price is fixed.

6. End with one real next step

Ask the client to accept, ask a question, or request one revision through the channel the business actually monitors. State whether acceptance holds a slot, starts a deposit step, or still requires availability confirmation. Then log the outcome and stop following up when the client opts out or the documented sequence ends.
