The five inputs that make a remote cleaning quote more useful

A practical five-question intake for modeling a residential cleaning estimate before an on-site confirmation.

A useful remote estimate begins with enough information to model time and scope without asking a client to complete a twenty-question survey.

1. Home-size band

Use a size band your business applies consistently. Square footage can be useful, but it is not a complete workload measure. Layout, finished areas, stairs, and how the space is used can matter too. Treat the band as a starting assumption—not a promise about duration.

2. Bathroom count

Bathrooms often create a more repeatable workload signal than bedroom count alone. Define how half-baths, unused bathrooms, and specialty surfaces fit your own model, then use the same rule across quotes.

3. Service type and frequency

“Cleaning” is not one scope. Standard maintenance, deep cleaning, move-in or move-out work, and post-renovation requests require different assumptions. Frequency matters only when it changes the expected workflow or condition.

4. Current condition

Give clients plain-language choices they can understand, such as light, maintained, heavy, or reset condition, and define those labels internally. Photos may help when the client chooses to share them, but request only what the estimate needs and handle images with appropriate privacy care.

5. Pets

Pets can affect fur, hair, odor, access, and safety preparation. Ask neutrally and explain why the information helps. The objective is to plan the work—not to make unsupported assumptions about a home.

Add must-have tasks and access limits

The five inputs create a compact baseline. Finish the intake by asking about the tasks that matter most, selected add-ons, parking or access limits, and anything that could materially change the time.

A compact intake message

“To prepare a remote estimate, please send the home-size range, bathroom count, service type and frequency, current condition, number of pets, and any must-have tasks or access notes.”

State the confirmation point

If unseen buildup, clutter, damage, access, or specialty surfaces could change the range, say when condition and scope will be confirmed. Explain how changes are discussed before exceeding an agreed amount. Local contracts and consumer rules still apply.

This workflow is an educational starting point. It does not guarantee estimate accuracy or determine what a business should charge.
